Job Description
We are seeking a proactive and highly organized Global Event Planning Administrator to lead the identification, planning, and promotion of events worldwide. This role involves scouting global event opportunities, maintaining strong partner and vendor relationships, coordinating logistics, and ensuring timely promotion of events across platforms. It will also include the coordination of our own events.
Responsibilities
Primary responsibilities will include but are not limited to
Research and maintain a pipeline of high-impact global events (conferences, trade shows, webinars, summits, etc.) relevant to the company’s industry and strategic goals
Build and manage relationships with event organizers, partners, sponsors, and vendors
Coordinate and administer event registrations, logistics, and internal planning calendars
Maintain an organized repository of upcoming and past events, deadlines, and contacts
Draft and post event announcements across internal platforms, company websites, and social media
We also host our own events, ranging from evening socials on the fringes of industry conferences, to our annual full day client conference. In this case, you will support the planning of hosted or sponsored events, including venue selection, budget tracking, and logistics coordination
Assist with program design and speaker outreach for our events.
Evaluate ROI and compile post-event reports with attendance data and performance insights
Qualifications
1–3 years of experience in event coordination, executive assistance, or project administration
Excellent written and verbal communication skills in English; additional languages are a plus
Proficiency with calendar tools (Google Workspace, Outlook), project management platforms (e.g., Asana), and event discovery platforms
Comfortable using CRM or event marketing tools (e.g., HubSpot, Eventbrite, Splash)
Strong interpersonal skills and the ability to manage multiple stakeholder relationships
Ability to multitask, meet deadlines, and work independently across time zones
Experience using AI tools to support content development, research, or productivity
Self-starter with a collaborative mindset and creative spark
Timezone
Must be available to work during Eastern Standard Time (EST) business hours
